Job Description


The main function of an administrative assistant is to provide administrative support by conducting research, handling information requests, and performing clerical functions. A typical administrative assistant acts as an information and communication manager for an office.

Roles and Responsibilities:



Provide general administrative support to the Corporate Affairs manager:
Calendar management.
Meeting preparations.
Book travel.
Invoice processing and tracking.
Mail and package distribution, catering for meetings and ordering office supplies.
Coordinate all office administrative support for the Corporate Affairs team.

Key Projects include:
Manage Access Database.
Process 2021-2022 Charitable Contributions budget in database.
Maintain electronic communication system.
Maintain central filing system.
Four-year scholarship program.
Tour Program.
Maintain computer resources.
Perform general office duties such as ordering supplies, maintaining records management systems, and performing basic bookkeeping work.
Prepare invoices, reports, memos, letters, financial statements, and other documents.
File and retrieve corporate documents, records, and reports.
Open, sort, and distribute incoming correspondence, including faxes and emails.
Prepare responses to correspondence containing routing inquiries.

This person will be handling and working with corporate affairs professionals. Experience in community engagement /public relations is preferred.



Qualifications and Education Requirements:



Strong verbal and written communication skills. Ability to communicate clearly and professionally, both internally and externally in a clear, concise, and effective manner. The ability to multi-task in a fast paced environment, customer service skills, and interpersonal skills. Ability to work independently and manage one's time. Ability to keep information organized and confidential. Strong attention to detail. Previous experience with computer applications, such as Microsoft Word, Excel, and PowerPoint.

Education/Experience: High school diploma or GED required.

Valid California Driver's License.
Minimum 5 years relevant administrative experience Preferably in a Corporate/Public Affairs environment.

Pay Range:

The pay range for this position is $27.00 - $33.00 per hour; however, the pay offered may vary depending on job-related knowledge, skills, and experience. This pay information is being provided pursuant to applicable law and is based in part on market location.



Please Note:

Must have a valid driver s license and current state-required minimum vehicle insurance coverage to drive onto Client and Company property.
