Job Description

Located on Alaska s North Slope in the National Petroleum Reserve (NPR-A), the Willow project is estimated to produce 180, 000 barrels of oil per day at its peak.

The economic impact of the Willow project will be sizable. According to the Bureau of Land Management (BLM) estimates, Willow could generate between $8 billion and $17 billion in new revenue for the federal government, the state of Alaska, the North Slope Borough, and local communities. The initial phase of Willow development will include a new Willow Central Processing Facility (WCF), three drill sites, pipelines, roads, bridges and supporting infrastructure.

2023 2024 - WOC Fabrication
2025 2027 - WOC North Slope Installation and Commissioning
2025 2027 - WCF / DS Sealift Module Fabrication
2027 2029 WCF / DS North Slope Installation and Commissioning

Willow will be a greenfield design including all processing facilities, utilities, drilling equipment, camp, and power generation.

The Willow construction Admin provides administrative support to the Willow Construction Organization. The position is a direct report to the Construction Manager and an indirect report to Construction Leads and Field Superintendents. While based in Anchorage the role provides support to all of the Willow project locations including Anchorage, Houston, and the North Slope

Key Roles and Responsibilities:

As part of the Willow Construction Team the Willow Construction Admin will have the following responsibilities:

o General administrative duties as assigned
o Maintains project records and file directory, as required
o Maintains Construction section of Willow Gateway site
o Provides Construction interface for Willow Project Leadership administrative requests

Resources & Organization
o Maintains the construction group resource plan
o Maintains the construction group organization chart
o Ensure staff rotation schedule (Rainbow Schedule) is up to date.
o Assist with recruiting/staffing functions
o Generate contingent worker assignment end date report monthly
o Assist with development of role descriptions (maintain consistency)
Audit RD s vs resource plan, notify assignment managers of upcoming assignments that need a role description
o Assist with screening scheduling
o Assist with onboarding/off-boarding (badging/computers/ID/etc)
o Assists with Office assignments
o Manage conference rooms (if necessary)
o Develop and maintain onboarding materials
o C&L resource interface with project coordinator and office coordinator
o Assist in maintenance of Willow personnel training records
o Ensure all compliance training is complete and up to date.

o Maintain Willow Billeting Report (planned, actual, forecast), as required
o Maintain Construction Management contact and distribution lists
o Develop and maintain standard reporting templates
o Support development of daily, weekly, and monthly project reports, as required
o Organizes and manages the Construction SharePoint & Teams file structure

Presentation Materials
o Assist with development of construction presentation materials
Maintain consistent content and formatting
o Assist with editing of video footage and cataloging of project construction photos

Processes & Tools
o Maintain access rights to the Construction and Logistics channel in Teams
o Develop and maintain electronic tools/processes
Develop and maintain reporting templates
o Maintain construction processes

Travel Planning
o Coordinate travel schedules and travel reservations, as required
o Reserve billeting and flights for Willow personnel, as assigned
o Assist Contractors to with billeting and flights, as requested

Qualification Requirements:

Basic / Required:

7 plus years of experience in Admin/Coordinator position or similar role.
Effective communication and interpersonal skills to work in a dynamic project team environment.
5 plus years of experience using Microsoft Office Applications, particularly Word, Excel, PowerPoint, Teams, and SharePoint
Professional demeanor, a positive attitude and willingness to assist in other duties as needed.


3 plus years of graphic arts
1 plus years working in oil/gas industry.

Work Schedule:

9-80 Schedule (9Hr Days) - 5 days on / 2 days off

Willing and able to work on day or night shift in support of assigned scope of work

Pay Range:
The pay range for this position is $55.00 - $60.00 per hour; however, the pay offered may vary depending on job-related knowledge, skills, and experience. This pay information is being provided pursuant to applicable law and is based in part on market location.
